Using Extempdex

Extempdex was designed with the knowledge that every team has unique needs.  That is why it is created in Microsoft Excel format.  Teams can easily add, delete, and change the data to what is appropriate for their resources.  In this section you will find some simple explanations as to how you can customize each issue of Extempdex.

 

Combining Issues

In the short period of time a speaker has before giving a speech, it is much simpler to have one larger index than several small ones that each need to be examined.  Combining issue of Extempdex into one larger file is easy.

1.  Open one of the Extempdex issues you wish to combine and save it under a different name, such as "June-September 2004".  We will call this your main page

2.  Open the next issue of Extempdex.

3.  Highlight all of the data, that is, all of the cells with text except the cell with the Extempdex logo and the headings.

4.  Go to the Menu bar at the top and under the "Edit" menu click on "Copy".

5.  Go back to the main page, go the end of the text.  Click on the left-most empty cell under the last entry.

6.  Go to the Menu bar at the top and under the "Edit" menu click on "Paste".

7.  Repeat steps 2-6 for any additional issues of Extempdex you wish to combine.

8.  On the main page select all of the data except for the Extempdex logo.  This time include the headings.

9.  Go to the Menu bar at the top and under the "Data" menu click on "Sort".

10.  If it is not already set up this way, select to sort first by "Topic", then "Sub-topic", and finally by "Title".  Each one should be in ascending order.  Click "OK".

11.  Save your work.

Adding Other Magazines

Extempdex features the most popularly used magazines in Extemporaneous speaking.  That does not, however, mean that other sources are less valuable.  The flexibility of Extempdex allows you to add in other resources your team finds useful.

1.  Open your Extempdex file.

2.  Begin typing the information in the next blank row

3.  When you are done, select every cell with text except for the cell with the Extempdex logo.  Include the headings.

4.  Go to the Menu bar at the top and under the "Data" menu click on "Sort".

5.  If it is not already set up this way, select to sort first by "Topic", then "Sub-topic", and finally by "Title".  Each one should be in ascending order.  Click "OK".

6.  Save your work.

Deleting Unwanted Magazines

Your team may not use one or more of the magazines featured in Extempdex.  If you find these magazines distracting, you may easily remove them.

1.  Open your Extempdex file.

2.  Highlight all of the cells with text except for the cell with the Extempdex logo.  Include the headings.

3.  Go to the Menu bar at the top and under the "Data" menu click on "Sort".

4.  Change the first drop down menu under "Sort by" to "Magazines" and click "OK".

5.  Highlight all of the rows with the magazines you do not want by selecting the numbers on the left part of the screen.

6.  Go to the Menu bar at the top and under the "Edit" menu click on "Delete".

7.  Now again highlight all of the cells with text except for the cell with the Extempdex logo.  Include the headings.

8.  Go to the Menu bar at the top and under the "Data" menu click on "Sort".

9.  Select to sort first by "Topic", then "Sub-topic", and finally by "Title".  Each one should be in ascending order.  Click "OK".

10.  Save your work.
